Collection of personal data
Data which is collected in conjunction with a booking enquiry
When you make a booking enquiry via our website, we collect personal data from you in order to be able to respond to your enquiry. The data which we collect is your name, address, and contact information (telephone number, email).
Data which is collected in connection with booking and travel
When you book a journey with us, we collect personal data in order to be able to implement your order. The data which we collect is your name, address, contact information (telephone number, email), gender, date of birth, passport information, insurance information, contact information for a relative, any allergies, and other medical information which may be relevant to your journey.
When you carry out a journey with us, we also collect data regarding the booking, i.e. booking number, destination, and length of journey.
During the journey, our guides take pictures for a slideshow which we will send to you after the end of the journey.
When booking, it may be the case that one person provides data regarding several persons traveling together. We assume that the person providing the data to us has the consent of all travellers to provide the data.
Data which is collected when you subscribe to our newsletter
If you choose to subscribe to our newsletter, we collect your email address in order to be able to send you newsletters and adapt to the content of the newsletter specifically to you. This involves your email address and data regarding your travel history with PolarQuest AB, your user pattern, and your preferences. By using this data, we can provide you with the offers and information which we believe will be of greatest interest and use to you.
Data which is collected when you visit our website
When you use our website, we collect data regarding your use of the service. Some of this data may be personal data, for example your IP number. We also collect data regarding how you navigate in the service, which searches you conduct, and which products you are interested in. If you subscribe to our newsletter, we connect the data regarding your user pattern with the other data we have collected about you. We use the information to influence how the content of the website looks when you, specifically, visit us. We also use personification in our communication via social media.
Legal basis and transfer of your personal data
We primarily process your data in order to be able to perform an agreement, i.e. to deliver the travel services you have ordered from us. We also process data on the basis of consent as well as to perform other legal obligations.
Data which is collected and transferred in connection with booking and travel
When you book a journey with us, your data is used to issue tickets and travel documents, as well as to book hotels. The data is provided to the suppliers with which we cooperate to enable delivery of the service (airlines, hotels, ships, guides, and other operators in those cases where you book a journey with one of our cooperation partners). Transfer to a third country takes place if you travel to a country which is not a member of the EU or EEA.
When you have booked a journey with us, we use your personal data to send a booking confirmation and important information about your journey. We use the post and email.
We also use the data for accounting purposes.
How long is the data saved?
We save the data we collect in our customer database and in our booking system. The personal data is saved for two years unless you have consented to your data being saved for a longer time. If you subscribe to our newsletter, your data is saved for as long as you choose to continue to receive communication from us.
Your rights
You are, at all times, entitled to obtain information regarding which data we have registered about you. Contact us at info@polarquest.se to receive an extract of the register.
Personal data processing which is necessary to enable us to perform an agreement with you or to enable us to perform a legal obligation takes place without consent. All other processing takes place on the basis of consent, and you may revoke your consent at any time whatsoever by contacting us. If you revoke your consent, we will erase your personal data and terminate the processing which is covered by the consent. You are also entitled to request that your data be supplemented or corrected.
You are always entitled to submit a complaint to the Swedish Data Protection Authority if you believe that we have violated the rules. As from 25 May 2018, the Data Protection Authority has an e-service for doing so on its website. The Data Protection Authority will receive your complaint and take a decision regarding supervision.
